BookingCenter is a modern ODBC-compliant database system that offers a complete range of built-in Reports. Literally hundreds of reports can be run, saved to file (for importing or using into other applications), printed, emailed, or faxed. We have provided examples below of some of the most commonly-used management reports. Among the reports found in BookingCenter:

If additional reports are needed for a business, BookingCenter can provide customized reports or you can use one of the two solutions described below to buld your own reports.

Daily Reports

The Daily Report window offers easy access to daily analysis of the key metrics desired by most property mangemers. All the reports can be run individually by choosing one at a time, or a user can choose two or all. An example:

Occupancy and ADR (Average Daily Rates)

Occupancy can be viewed daily, weekly, monthly, or by Room or Room Types, as shown below:

BookingCenter mixes the Room occupancy, Guest Occupancy and ADR on a single report, providing all the data a business manager needs on a single Occupancy report. The ADR is created by taking booking costs that fall across the beginning or end of the accounting dates and splitting it pro rata. Where the booking encompasses more than one season - and the change in seasonal price is extreme, as with Christmas/New Year - this strategy can create a variance in ADR reporting, as the word average daily rate implies.

Financial Report

The Financial Reports issued by BookingCenter are split into two main sections: Revenue and Financial, with the ability to sort and subtotal the reports by a variety of metrics.

Financial reports show the financial details that an accountant needs to view to issue P & L, Balance Sheet totals, and recognize receivables.

An example:Revenue Reports show the total revenue figures a business manager likes to view, Accommodation totals, the amount discounted, how many Extras were sold, and how much discount was given on Extra revenue. The easy tally displays how much revenue was achieved in a period.

Tax Reporting Needs

BookingCenter provides a complete overview of the tax and financial reporting processes common to hospitality businesses in many countries (USA, Canada, Australia, UK, etc) in Chapter 5, Financial Reports in the Bookingcenter Reference Manual. Having documented the various options for tax collection and reporting in the Reference Manual - from Bed and Breakfasts who don't tax the food portion of a stay, to properties who need to perform GST/VAT reports - we recommend downloading or viewing the Reference Manual from the / BookingCenter/ folder on your computer.

One special case that we have seen arise is where a local city initiates a tax PER NIGHT. This is the case in Lake Tahoe, CA and applies to all bookings, regardless of how many people are in the room. In MyPMS, this can easily be solved by configuring the tax section. In BookingCenter Desktop, this can only be done correctly by either

  1. Bundling the $1/night into the rate and running an occupancy report showing the 'Room Night Booked' for a time period such as a month or a week at a time and then multiplying it by the $1/night tax. This has the advantage of being easy to use and manage, but the rate and the City Tax are bundled in, making it hard to separate as a true 'tax' to the consumer. Or,
  2. Adding an Item to bookings called 'Tahoe City Tax' and then running an Items report to show how many were charged were during the time period. This process has the advantage of making a clear taxable transaction to the customer, but creating a manual procedure for each check in at the front desk.

Making custom reports with the BookingCenter

Ad Hoc Report WriterAll BookingCenter Pro customer can opt to enable an internal Report Writer called the AdHoc Report Generator. For users who understand SQL databases and how to write reports, the Ad Hoc generator will allow you to query the BookingCenter database and save reports on the Mac or Windows OS that can be reused at any time.

Keep in mind, BookingCenter Support policies DO NOT support the use of the Ad Hoc Report Writer. This is undocumented feature that any BookingCenter Pro customer can use

.Making custom reports with a third-party Report Writer such as Crystal Report or Excel/Access

Only BookingCenter Pro customers who use Windows can take advantage of third-party report-writing tools (easily). The Mac does have ODBC connection tools,especially with OS X, but BookingCenter doesn't support these at this time. If you are a Mac user, please see the Ad Hoc solution above or email us at support@bookingcenter.com and tell what product you want to use and why. There are Mac ODBC drivers available, but they cost a few hundred dollars.Windows users need to install ODBC drivers onto your computer for the OMNIS engine used by BookingCenter to use your Report Writing tool with BookingCenter. Here's how you do it:

  1. Install the ODBC drivers and follow the instructions in the read me file that comes with the download - click here to download.
  2. Go to the ODBC 'data sources manager' on your computer (in control panels in Win 95/98/ME)
  3. Choose System DSN from the tab pane.
  4. Click on add
  5. Choose the Omnis driver. If you get an error go back and copy the ODBC dll from step (1) into the system32, system, and windows directories and do this step again.
  6. Give the DSN an easy to use name and set up the other parameters
  7. In the Datafile section Click on "Select" and select your BookingCenter datafile (usually called a .df1).
  8. Launch BookingCenter and go to Parameters -> Utilities (password is 'precious')
  9. Click on "Enable ODBC Access"
  10. Connect up and report away!
** If the installation causes an ODBC error in XP, but the OMNIS ODBC does appear in the list of valid data sources when viewing datasource, then you need to copy the dll to the C:\win\system dir as well as C:\win\system32. On some computers this is necessary.
