Travel Agent Bookings

Bookings from a travel agent are unique to each Travel Agent. Some will provide complete details about the guest and the bookings - others will be vague and only provide a Guest's last name. All the information that BookingCenter knows about about the travel agent that made the booking is attached to each booking. Simply look at the Booking Detail in BookingCenter Desktop (or the Agent record in MyPMS) and you will see the Travel Agent's IATA number and infromation about the Agent's business. Then, look in the Agents area of BookingCenter to find the Agent and all the historical bookings they made at your property. This is all the information BookingCenter has on a specific agent. BookingCenter has no more descriptive details than the contact information listed in this Agent record. However, you can use the IATA number (the Agent code we use to describe the Agent is their IATA code) and visit http://www.checkacode.com/industry_code.asp to place the IATA code and get specific Travel Agent details.

Below is what is required to obtain additional guest info (such as address, credit card number, and email address) from bookings generated from Travelocity and generic Travel Agencies:

Generic Travel Agents

Travel agents will, unfortunately, often not provide full guest details. Sometimes, they won't even provide a credit card, even though you have a "credit card deposit' policy set. This is the way some Travel Agents work with their system (Sabre, WorldSpan, Galileo, etc.) - although they are supposed to provide them if the property requests it. There is nothing to be done about the lack of a credit card or full guest details short of contacting the Travel Agent directly to request full information. This can be done by clicking on the Agents IATA (American Assoc. of Travel Agents) number linked from the Booking Details screen in BookingCenter. The Agent record will contain full contact details for the Agent - and this is how you can follow up on the booking to request the additional data you need.

For Travelocity bookings:

On the confirmation you may notice that BookingCenter only provides you with the guest name in addition to the booking details. If you require additional information prior to their arrival, please email guestinformation@travelocity.com and use the subject line "Guest Information Request". In the body of the e-mail you must include the following 8 pieces of information, otherwise your request will not be fulfilled:
1. Hotel name
2. Telephone number
3. Name of contact person at hotel
4. Sabre record locator (this is the 6-character code below called "Travel Agency Reservation Code")
5. Name of guest
6. Arrival date
7. Requested information (the guest's address, phone, e-mail, etc.)
8. Reason for request

If you need the Travel Agency Reservation Code, it can be viewed in the Office Only Notes found at the bottom of the Booking Details screen in BookingCenter.
